How to Export Data out of Mitchell Manager

Most repair shops rely on Mitchell Manager or ShopKey every day to run their business. Over time, those programs build up a huge amount of important information—customer records, vehicle history, invoices, and service data.

Step-by-Step: Connecting Excel to Mitchell Manager

The official process uses Microsoft Excel to connect directly to the Mitchell Manager database through Microsoft Query. It takes a little setup, but once it’s done you can reuse the connection anytime.

Step 1 – Open Microsoft Excel

Start by opening Excel with a blank worksheet.

Step 2 – Open the Data Connections Menu

In Excel, go to the Data tab and select Connections.

Step 3 – Choose “From Microsoft Query”

Under From Other Sources, select From Microsoft Query.

This tool allows Excel to talk directly to the Mitchell database.

Step 4 – Select the Mitchell Data Source

A list of available data sources will appear.

Look for an option that begins with:

MMS Series…

Depending on your installation, it may be labeled something like:

  • MMS Series I 32 SU
  • MMS Series II 32 SU
  • MMS Series I 32 MU

Select it and click OK.

Step 5 – Log In to the Database

Excel will now prompt for login credentials.

Enter the following exactly as shown:

  • Login Name: CMDMricStatic
  • Password: su3845

Both fields are case sensitive.

Step 6 – Choose the Data You Want

Next you’ll see a list of database tables.

The most commonly used tables are:

  • Customers – contact information
  • History – past repair orders
  • Vehicles – vehicle details

To export customer information, select the Customers table and add it to your query.

Step 7 – Apply Filters (Optional)

Excel gives you the option to filter the data before importing it.

For example, you could limit the export to certain zip codes or date ranges. This step is optional—you can also bring everything in and filter it later inside Excel.

Step 8 – Sort the Data (Optional)

You can also choose how the data should be sorted, such as by:

  • Last name
  • Zip code
  • Customer ID

Again, this is optional.

Step 9 – Finish the Query

When the Query Wizard finishes, select:

“Return Data to Microsoft Excel”

and click Finish.

Step 10 – Import Into Your Worksheet

Excel will ask where to place the data. Choose Existing Worksheet and click OK.

After a short wait (depending on the size of your database), your Mitchell Manager records will appear inside Excel.

Note: You have only exported data from the single table you selected.

If you need additional information—such as:

  • Repair order history
  • Vehicle records
  • Parts and labor details
  • Invoices
  • Any other table in the system

…you must go back and repeat the entire process again for each table.
